What If Your Virtual Assistant Isn't the Right Fit?

QUICK ANSWER

If a virtual assistant isn’t the right fit, you are not stuck. In the first six weeks, under the 6-Week Performance Assurance, your Project Manager monitors the placement, flags problems early and works on coaching and action plans with you. If it still isn’t right, the 5-Day Replacement commits us to a 100% replacement within 5 working days.

What are the two protections and how do they differ?

They cover different things. The 6-Week Performance Assurance is the monitoring and coaching that happens in your first six weeks. The 5-Day Replacement is our replacement guarantee: our commitment to replace the person if it is still not right. Both sit on a month-to-month arrangement with no lock-in and no recruitment fees.

How do I know a virtual assistant isn’t the right fit?

Look for the same problem more than once. One mistake in the first week is normal. Repeated misses against a written standard are the signal.

Watch for:

  • Tasks that are late or incomplete against the due times you agreed.

  • The same mistake coming back after you have corrected it.

  • You redoing the work yourself to be safe.

  • Daily reports that are missing, vague or late.

  • Hours logged in Time Doctor that do not match what has been delivered.

  • Slow replies during the hours you agreed.

If several of these keep happening, do not wait for the end of the six weeks.

What happens in the first six weeks, and what should I do?

Raise it early, in writing, with your Project Manager. Every MVM client has one.

What your Project Manager does in the first six weeks

  • Gives dedicated onboarding support.

  • Works with you and your assistant to agree priorities, workflows, communication and performance expectations.

  • Gathers early feedback and runs structured two-way feedback sessions.

  • Looks for skill gaps and behavioural concerns.

  • Builds and carries out clear action plans where performance needs to improve.

  • Gives you regular performance updates through weekly check-ins and reports.

What you do

When

What you do

Week 1

Share the task list, the tools and logins, and what “finished and correct” looks like. Give short, specific feedback.

Weeks 1 to 6

Take part in the feedback sessions. Say early if something is off and say it in writing.

If concerns persist

Work with your Project Manager on the action plan and give clear feedback on what has not changed.

Any time you are not satisfied

Tell your Project Manager your concerns and your reasons. The 5-Day Replacement applies.

How to raise a concern

1

  1. Write down specific examples: the task, the date, what you expected and what happened.

  2. Send them to your Project Manager with the standard you agreed.

  3. Agree what “fixed” looks like and by when.

  4. If it is not fixed by then, ask for a replacement. Give your reasons, confirm the skills you need in the next person and review or interview the candidates.

Not sure your brief is ready? We will map your recurring tasks and show you what is realistically delegable.

When is the problem the brief, not the person?

Often it is the brief. Check this before you ask for a replacement, because a new person meets the same unclear instructions. Ask yourself:

  • Are the steps written down, or only in your head?

  • Does your assistant have access to every tool the task needs?

  • Is “finished and correct” defined?

  • Are there due times and a reporting rhythm?

  • Is there someone they can ask when they are unsure?

If all five are in place and the problems continue, ask for the replacement. Our guide to outsourcing admin tasks lists six things to write down before you hand over any task.

What do our Project Managers look for?

During your first six weeks, our Project Managers watch performance, communication, work quality and overall fit. They look for four red flags early:

Skill gaps

The assistant cannot yet do a task to the standard you set

Behavioural concerns

How the assistant works with you or the team is not right

Communication issues

Updates are slow, vague or missing

Missed expectations

The work keeps falling short of what you asked for

When one shows up, your Project Manager talks it through with you and the assistant and looks for a fix first, such as coaching or a change to how you work together. A replacement is not always the best answer. If the concern persists or there is no suitable fix, they may recommend one.

How do I lower the risk before I hire?

Four steps cut most of the risk before day one.

  1. Write a one-page scorecard: the tasks, the tools, the hours and what good looks like.

  2. Interview the candidates we shortlist and ask how they would handle a real task from your list.

  3. Agree the standard and the reporting rhythm in writing before the first day.

  4. Book the weekly check-in on both calendars.

Frequently asked questions

What happens if my virtual assistant isn’t the right fit?

Tell your dedicated Project Manager your concerns and your reasons. They will assess the situation, look at coaching or other fixes with you and your assistant and, if the concerns persist, work with Recruitment on a replacement. MVM backs every placement with two protections, the 6-Week Performance Assurance and the 5-Day Replacement.

Do you offer a virtual assistant replacement guarantee?

Yes. If your virtual assistant isn’t the right fit, our commitment is a 100% replacement within 5 working days at no additional cost. Tell your Project Manager your concerns and your reasons, and they will work with our Recruitment team to find a suitable candidate.

What is the 6-Week Performance Assurance?

During your first six weeks, your Project Manager monitors performance, communication, work quality and overall fit, flags concerns early and works with you and your assistant on coaching or action plans. Your assistant’s hours are also tracked with Time Doctor.

Who do I speak to if there is a problem?

Your dedicated Project Manager. Every MVM client has one and they handle onboarding, performance check-ins and escalation.

Am I locked into a contract if it isn’t the right fit?

No. MVM billing is month-to-month with no lock-in contract and no recruitment fees.

Will a replacement fix a vague brief?

Not on its own. If the brief is unclear, the next person will meet the same problem. Before you ask for a replacement, check that your assistant has written steps, access to the tools they need, a clear definition of finished work, due dates and someone to ask when they are unsure.

How soon should I raise a concern?

As soon as you see the same problem more than once. Waiting until the end of the first six weeks leaves less time to fix it. Raise it in writing, with examples and agree what “fixed” looks like and by when.

How much does a virtual assistant cost?

Rates start from A$9/hour (around US$7, £5 or €6), depending on the role and scope, confirmed on a Discovery call. There are no recruitment fees and no lock-in.

How does the 5-Day Replacement work?

At any time, tell your Project Manager your concerns and your reasons. They will assess the situation, clarify what you need from a replacement and work with our Recruitment team to find a suitable candidate. Our commitment is a 100% replacement within 5 working days at no additional cost and you can review or interview candidates to make sure the next person fits. Sometimes coaching or a change to the arrangement fixes the problem faster and your Project Manager will tell you if that is the case.
